Applying workflows to users instead of site content

I was considering applying our workflow to users instead of the site content - has any one else done this / is there any reason why this shouldn’t work?
Cant find any details on this in the online manual, it just says apply to assets . . .

Appreciate any feedback on this as am new to the system and still working out the best way to have it set up for us

Hi Lee,

When you saying applying the workflow to users, do you mean to say going through the workflow process before the user goes live? If you were asking this, then yes ofcourse you can do it.



Correct me if I misunderstood as to what yo were trying to do.

Thanks for your prompt response.

I don’t think I explained myself cleary though as that wasn’t what I meant.

In order to get things to work the way I'd like them to (most updates needing to come through the one simple workflow process but with certain areas of the site not needing the workflow to be applied to it and certain people that wouldn’t need to go through the workflow process either) I was considering applying the workflow process I have created to user type assets (Public, Simple Edit, Back End, System Admin) instead of applying it to the assets that are for our site's content.

Does that make more sense/clarify what I mean and am interested to learn about?

I think I am getting a better idea of what you are trying to achieve here. You might have to separate the content the site which need and which doesn't need the workflow applied to it. Ideally you can put all the content that requires particular workflow under folder and cascade down the applied workflow schema. There might be better ways to implement it which I will leave to the experts. (I being a Developer and not Implementer :wink: )



And as for Some users being able to by pass the workflow steps. For this if the user himself is in the workflow steps that is applied to an asset, he/she can approve the asset directly without having to put the asset into "apply for approval" state. How this makes sense. Don't hesitate to ask any questions if this isn't clear of if this wasn't exactly what you were after.

That's how I currently have it set up (workflow applying to all of the site except a few areas I have made exempt) and it covers most of what I want/need :slight_smile:



But am I right in believing that even if a user has admin permission the workflow overrides it and they still need to go through the workflow process - I still havent worked out how to allow certain users to be able to update content and make changes live (be exempt from the workflow) without making them part of the workflow (which they dont need to be) :angry:

. . . any ideas on that??

Hi Lee,

Yes you are right. Even if a user has Admin(GOD !) permission on a asset he or she wont be able to approve the asset directly and make them live. Although this is true only if this same user isn't part of the workflow approval steps. So if you put all the users, you can trust to update content and make the asset Live, under a user group and add this user group as the part of the workflow step…this user then should be able to approve the assets directly after updating the asset rather then applying for approval. Hope this makes sense and I am not confusing further :wink:

Think that all makes sense - thanks so much for all your help on this Ash, really appreciate it!!!

I guess I kinda thought/hoped that seeing as everything is an asset that you would be able to make certain users exempt to the workflow as you can with certain sections/content on your site (hence why I was asking if you could apply the workflow to users instead of content) but it doesn't sound like I can . . .
