Remind emails for out of date content

Hi,
does anyone know of a good way of setting up Matrix so that it automatically sends out emails to remind people to update their conent.

The email would be sent when the last time a page was updated was longer than say 3 months?

The recepients would be anyone who has write access to the particular pages.

The email would need to include a link directly to the respective page.



I am using 3.22.6

You may be able to set a future status trigger to add a status change to 'up for review' in 3 months when a content item has been published. In 3 months time when the status change happens you would have another trigger that activates and sends the email.


There is no way I know of to send the users with write access to the page an email, however you can setup a few triggers to send different people/groups the email based on their area of responsibility of the site. If those pages aren't in defined sections that would be rather more difficult.



What we have done in the past is send a group of user an email with a link to an asset listing within matrix. This asset listing would show the assets that have the current status of up for review in the site and only list the ones that the user has effective write access to.



A word of warning with the trigger setup however. If you are listening, very generally, to status changes in the site you could potentially end up with problems if say someone decides to cascade status changes across a large section of the site. This would result in many emails being sent and generally render the setup useless. If you see that being a potential problem on the site I'd suggest setting up some sort of business process that just directs these editors to the asset listing I mentioned, and monitor the content that way.

two options as i can think for the trigger setting,

  1. use "roles" for the "Role Recipients" in the trigger (be careful of the server load)
  2. if i am right the trigger starts to support more keywords, try %globals_asset_updated_by_email% for Recipients email address.
