Up for Review assets with email notification

Hello there, can you please confirm, with Squiz MySource CMS,

  • how is content that is Up for Review handled, eg does a user get emailed notification? when the asset status type is set at "Up for review"
    [*]How are you able to assign the relevant user of the page who will receive this email notification? do you need to apply a Role?
    [*] Would you use a workflow? but if you do, the user will only get emailed if the page is Live, and not any other status type you'd prefer?

    Yes, the user will get email if the user is part of the workflow. Detailed explanation of how workflow works can be found here.

    You can achieve this by roles but from what you said it seems you want them to receive the email for approving the status change. This is what workflow is for. If you want users from outside the workflow to receive the email you can configure trigger for this. The trigger can be set up to fire on "status change" event with condition of "current status" and trigger action of "Send Email".

    Using the workflow, the email will be sent to user who can approve the process when the workflow is started. The above link also explains how and when the workflow is initiated. Option "Notify on Live" is just an additional condition you can set on the Workflow. Irrespective of this setting the workflow emails should be sent.

    From you previous post it seems you are having difficulties to get "up for review" emails. Can you confirm if you are getting other workflow emails from Matrix?
    Its seems to be purely matter of configuration.

    Hi Ash thanks again for the above. The Workflow works great :slight_smile: so when an asset is put “Up for Review”, the Roles assigned to the asset are then notified via the Matrix Inbox messaging system. But I’ve just had confirmed yesterday, that the requirement is, is to have the Roles emailed notification to their actual email addresses eg joe@bloggs.com, as the Roles/Users are rarely on the Matrix system, so to get a notification to their external email from Matrix, would make them aware to login into Matrix and review the page. Can you confirm if this is possible? and how to go about it. I’ve looked at Triggers, but am not sure if this would be the best way, I’d rather use Workflow.

    Hi,

    The ‘Up for Review’ email notifications should be sent to external inbox too. Are you getting ‘Workflow approval required’ email to externals inbox?

    If you are getting then there is a configuration you might need to add to be able to achieve what you want.

    More information can be found here.



    But if you aren’t getting any emails outside Matrix, it might be something else totally.

    I have crossed checked and the users on the Roles should be emailed ‘Up For Review’ emails too.

    Thanks again Ash, ahh I’ve been trying out the method with Workflow and Roles in the Squiz Matrix module in a Virtual Machine which doesnt have internet access, so will try out the method again with environment that has internet connection to see if external emails are being sent also… will see how I go, will post the outcome once done :smiley:
