we are setting up workflows in 3.12 and all is working well. However, I would like to change the default message that Matrix send out. Firstly, is there an easy way to do this?
If not, then I guess we could set up triggers to send our own customised emails to authorisers.
I want to make the process as easy as possible for authorisers, so am thinking about a customised email trigger which is sent when a page is sent for approval and then sending the authoriser to a simple edit page which also contains the ability to change the status as part of the workflow (so they can see the page contents and approve the page at the same time). Do you see any downside/issues with this method?
You cant change the messages sent.
The downside with triggers is that if you implement your own workflow system, you will not have your setup tested on future releases, like the standard workflow email system is. If workflow logic changes between major versions, you may have to redo your trigger system.

I wasn’t planning on replacing the Matrix Workflow. I was planning to still use the workflow rules within the system, just changing the message that the user sees via email using triggers, if that makes sense.
I think Greg is suggesting that by trying to replicate standard Matrix functionality in a non-standard way (and specifically using triggers), you will need to do extra testing before upgrading to ensure things still work as expected.
If users can't change the messages then can you atleast improve the subject line in future releases?
eg. [SITENAME: Workflow approval required for [short page name]
Should I add this as a feature request?
edit it might not be a bad idea to include the asset ID for those who are already logged in and not likely to click the links from the email.
