Having Safe Edits approve and go live without workflow

(Ryan Archer) #1

We have encountered a problem with assets that are scheduled to go live with changes that have been made in Safe Edit mode. There is no issue with particular assets that have a workflow present as they will go from Safe Edit > Approved > Live.

The issue arises when the asset does not have a proper workflow (i.e. calendar events) and it goes from Safe Edit > Live on a future scheduled date. What happens is that the asset goes live and loses all the changes made in Safe Edit. This was never an issue before within our system and now it's become and issue.

Response from Squiz support was as follows:

This is expected behaviour, if an asset is in save edit and is set to live it will cancel the edits. The asset needs to be in be in approved to go live status for it to publish the edits. This can be seen on the http://manuals.matrix.squizsuite.net/concepts/chapters/squiz-matrix-concepts

This may be the case, but it was working before but now is not working. Is there a way to do this? We are still using Matrix v4.18.4 - will be upgrading to latest build soon though.

What changed?

Well calendar events that are placed in safe edit when changes are made to them are going live and losing their changes.

Assets like pages are fine because they have the complete workflow placed against them (i.e. under construction/safe edit/approved to go live/Live).

As for our team changing anything, we have not changed anything. No updates or patches have been applied to the system whatsoever.

Apparently this feature has been working in the past and now its not working. I have Squiz support telling me that it should never have worked in the first place. As you can tell, I'm confused.

I would tend to agree with Squiz support on this one.  Information given to you might have been innocently misunderstood or misinterpreted by the person telling you.  Even without workflow assets can't go straight from Safe Edit > Live.  They must still go through an Approved status first.

You'd need to look at the triggers and see where they are acting.  I reckon you would need at least 2 triggers:

1> For Calendar events only, to go from Safe Edit > Approved.

2> For all assets, to go from Approved > Live.

Multiple triggers could be acting in concert like this 'under the hood' so it may appear that the assets are going Safe Edit > Live in one hit.

But this may be too simplistic.  I would be wondering about the business process.  How does the system know an asset in Safe Edit should go live?  How does it know authors are not still making changes?

Thanks for confirming my suspicions @Tim. It appears they should have had a proper workflow all along as Squiz system gets confused.

It's probably been by sheer chance or luck that these assets went through with changes before without having a proper workflow.

I was thinking the same thing about the double trigger action.
